Authorized External Messaging
Use this page to manage which external email addresses are allowed to receive operational notification messages.
Navigate to Administration -> Notifications -> Authorized External Messaging.
List view
The list page includes an email filter and a results table.
Filter
- Email: Use Search by email to find specific recipients.
Table columns
- Email: Recipient email address.
- Reports: Indicates whether this email is authorized to receive report communications.
- Purchase notifications: Indicates whether this email is authorized to receive purchase communications.
- Capacity notifications: Indicates whether this email is authorized to receive capacity communications.
- Special service request notifications: Indicates whether this email is authorized to receive SSR communications.
How the feature works
Authorized External Messaging is the account allowlist for external emails that are not Betterez users.
Each record stores one external email and the communication types that email is allowed to receive:
- Reports
- Purchase notifications
- Capacity notifications
- Special service request notifications
Before sending a communication, Betterez checks whether the destination email is authorized for that specific communication type.
Reports example
When someone sends a report by email:
- If the destination email belongs to a Betterez user, it can be used as a valid internal recipient.
- If the destination email is external (not a Betterez user), it must be added in Authorized External Messaging with Reports set to
true. - If the external email is not listed, or Reports is
false, the report email is blocked.
The same pattern applies to the other communication types: the corresponding permission must be granted before an external email can receive that communication.
These permissions control who can receive each communication type. They do not create, schedule, or trigger communications by themselves.
Actions
- Add new: Click Add new to create a new authorized recipient configuration.
- Edit: Click an email address in the list to open and edit that record.
- Delete: Use the delete icon in the row to remove a recipient configuration.
Empty state
If there are no configured records, the page shows an empty state message and an Add new action.
Permissions
The Add, Edit, and Delete actions are displayed according to the user permissions configured for the account.
