Customizations
- Use simplified sales flow with reservation products: Enable this option if you want to use the simplified sales flow in a single screen.
Please note this is still in beta version and also requires all Seatmaps to be updated to the latest version. Not recommended to use without checking with Betterez support.

- Copy information for passengers even when requiring extra validation. In the backoffice sales flow, there is a convenient button that copies the information from the first passenger to the rest of the passengers (when booking for more than one passenger). This feature has a restriction when the fare type of some of those passengers uses the fare type validation field. You can override that restriction by checking Copy information for passengers even when requiring extra validation.
- Request airline info for airport stations: If you have stops at airports, and you would like to get information on the flights of your passengers (Airline and Flight Number) you can check this option. During the purchase flow, the user will be asked to enter the, Airline, flight number and time of the flight(s).
This information appears in the manifest.
- Create/modify tickets on past dates (back-end only) allows back end users to create/modify expired tickets. This setting overrides the product cutoff settings
This setting is needed if you want to redeem/unredeem tickets from past trips. Also, refunding expired tickets is only possible with this option enabled.
- If Optional email address for back office and network users is checked, the customer email field becomes optional and it will not be required to complete a purchase in Backoffice.
The system will use the email of the agent making the purchase in this case, a customer record will still be created, but the email will not be the email of the customer.
- By default when changing tickets in backoffice, the fare type have to be the same as the original purchase. You can change this behaviour by checking the Change ticket fare on ticket change checkbox.
- Limit Changes per ticket - enabling this will show an error message when trying to change a ticket more than X times. You will need to cancel and rebook if a ticket has already been changed more than the times allowed.
Keep in mind this just applies for backoffice. Self service change is NOT limited by this setting. Self service changes are also considered for this counter.
- Enable electronic invoices will enable the sales flow with electronic invoices integration. Please note you will need an external integration for this, please check with your account rep before enabling this.
- Show extra run different in trip selection when this option is enabled the trips results will display an icon in order to identify the extra runs
- Unhide "websales" channels for referenced payments If enable apis will support payments by "Referenced payments". This is sometimes needed for third party integrations on when building specific workflows.
These payment will not be available in the websales application regardless of the state of this flag.
Booking session duration
Continuing to scroll down through the options will bring you to the section that will allow you to configure (by channel) the time a user may hold a seat in a booking flow, otherwise known as booking session grace period, before the seat is released for sale by other users in the specified channel.
Auto apply first payment on payment page (backoffice)
If checked, it will select and apply the first payment on the payment select box based on the payments order. If the payment requires extra information you will have to enter that information manually. SO this should be used only when the first available payment can be applied automatically. ex: Cash, Lane 3000, Square.
Custom messages for trips results page
You can enter a localized message for the trips results page when a particular trip search return no results. This message will be used in all channels. (back-office and websales)
Allow change to a lower fare
There is the option to enable changes to cheaper fares. This feature allows the customer to change their ticket for another one in the same Product, but with a lower price. Additional charges and fees are still applied, and the customer will have to pay for these if applicable. The difference between the ticket fares will not be refunded.
To enable this, please go to Admin > Setup, and scroll down to find the Allow change to a lower fare option.
Accept multiple Gift Cards for payments
There is the option to enable payments with multiple Gift Cards in a single transaction.
The Gift Certificate payment method must be configured as "Allowed to Combine" for this to work.
Enable passenger comments
You can enable a free form text field in the passengers page of the purchase flow in each of the channels (back-office and/or websales) independently.
You can also provide a label for this field (default is comments) in each of the languages supported by your account.
This is a non-mandatory field (passengers may choose not to fill it.)
The text in the field will be shown in the manifest.
Promos
During the booking flow promotions need to be entered manually. This is perfect for websales where you want to make sure people enter promo codes they are aware off. Sometimes in backoffice can be cumbersome, specially if you use promo codes to provide preferential pricing to certain passengers.
In that case you can check the Use autocomplete control to choose promos (backoffice only) checkbox to enable an auto complete field that will help your agents to find the correct promo code faster.
Trip Results
These settings modify how the trip results are shown.
- Show # results per page You can set how many results (by default) will be shown in each page when searching trips in the sales flow. If there are more results, you can still access those results using a pagination control at the bottom of the page.
- Show availability information in trip results Set this to true, if you want to show capacity available in the trip results page. (In backoffice it will show capacity if this is set, in websales will only show capacity if it reaches low capacity (see below))
- Low availability warning This setting works in combination with Show availability information in trip results. If the capacity on a trip is less than the value entered, it will indicate that the trip is low on capacity.
- Show group ticket prices instead of individual prices This setting works in combination with Use Single Sales Flow when it's checked. Along the trip results in the sales flow it will show the cheapest total amount of the ticket prices for the passengers selected or the cheapest price of a single ticket.
If you'd like to show the trip capacity only in Backoffice but never in Websales, you can check the Show availability information in trip results option and set Low availability warning to zero. This will disable the availability messages in Websales, while still showing this information in Backoffice.
With the previous suggested configuration you will not see a low capacity warning in any of the channels.
Cancellations
Email refund receipts automatically: when selected, upon completing a refund (cancellation) an email will be send to the customer associated to the original transaction with details of the refund and a PDF of the transaction details.
Manual penalty on ticket cancellations: allows user to apply manual penalty on cancellation if checked
When refunding tickets after several changes, the default behaviour is that the refund will be done to the payment method of the last ticket in the change.
You can modify this behaviour by checking Prorate refund amounts based on payment history. When this setting is enable, the system will take a look at all the payment types and the amounts paid into each payment type to refund to the same payment methods proportionally after cancellation fees and penalties if they apply. For example: a ticket for $100 was paid with Cash, that ticket was changed and the new ticket has a balance of $10 that was paid with an in person CC.
When you cancel the second ticket (without any fee or penalty): $100 will be refunded to Cash and $10 to the in person CC method.
If you apply a 10% cancellation fee, $90 will be refunded to Cash and $9 to the in person CC method.
Refund Expiration Date This setting applies for the "Refund to Voucher" feature, and defaults the amount of days to the voucher's expiration time.
Always apply taxes to fees When enabled, this will override the taxable setting of the cancel fees and products in a transaction, to always apply any corresponding taxes to the cancel fees (only applicable to reservation and parcel products)
Once the above settings are completed, make sure to click save at the bottom of the page to save your changes.
